Crew

Add your crew

Add people one at a time with an invitation or a password, import a spreadsheet, or let them join with their school or theatre email.

Add one person

  1. In Stage Management, open Crew and choose + Add crew member.
  2. Under Account setup, pick Send email invitation or Set password — no invite.
  3. Enter their Full name and Email. Phone number is optional.
  4. If you chose a password, type a Temporary password of at least 7 characters.
  5. Tick Grant Stage Management access if they’ll help run shows. Leave it off for crew.
  6. Choose Send invitation or Create account.
  • Send email invitation: they get an email that brings them to your site to set their own password.
  • Set password — no invite: the account works right away and no email is sent. Hand them the password yourself.

If the person already has an account from another organization on the platform, they’re simply added to yours. They keep their existing password and no email is sent, so let them know.

Import a spreadsheet

  1. Scroll to Import crew from CSV or XLSX at the bottom of the Crew page.
  2. Choose ↓ Download CSV template and fill it in, one person per row.
  3. Only name, email, and a password are required. The access column can be Crew or Management and defaults to Crew.
  4. Leaving the password column blank? Type a Default password for blank password cells first.
  5. Choose Choose CSV or XLSX and pick your file.
  6. Check the preview. Rows marked Ready will be created, and any others show what needs fixing.
  7. Choose the create button. It reads Create 12 crew accounts when 12 rows are ready.

Imports create accounts with their passwords and never send invitation emails. You can import up to 250 people at a time. Someone who already has an account on the platform can’t be imported, so add them with + Add crew member instead.

Let crew join with their email domain

On the Pro plan and up, anyone with an email at your school or theatre, like name@yourtheatre.org, can join as crew by signing in with Google or Microsoft. You don’t have to add them first.

Set it up under Sign-in. See Sign in with Google or Microsoft.

Stage Management or crew?

  • Crew see their own hours, schedule, and sign-ups.
  • Stage Management can also run Build Days, approve hours, and manage the shows they’re on.
  • Administrator can do everything, including settings. You can only give this from Edit account details after the person is added.

Change someone’s access any time: open the ••• menu on their row, choose Edit account details, and pick an Account access level.
