Crew
Privacy

What Crew keeps, and what it doesn’t.

Last updated October 2026

Crew helps school and community theatre programs run their stage crew. Each program decides who gets an account, and we handle its crew’s and staff’s information only to run the service for it.

What we store

  • Your account: your name, email address, and your role in each organization you belong to.
  • Crew records: build hours, clock-ins and clock-outs, shift and assembly sign-ups and attendance, show and task assignments, and files your organization uploads.
  • Form answers: answers to the forms your organization asks you to fill in, including agreements (the name you typed, the date and time you agreed, and the account you used). They’re kept until your organization deletes the form.
  • A change history: who approved, edited, or removed records, so your organization can check its own work.

Signing in with Google or Microsoft

If you choose Continue with Google or Continue with Microsoft, we receive your name, email address, and profile photo from that account. We never see your password, and we don’t ask for access to your mail, files, or calendar. The organization that gave you that account (a school, employer, or other group) still sets its rules.

What we don’t do

  • We don’t sell or rent anyone’s information.
  • We don’t show ads, and we don’t use advertising or tracking cookies.
  • We don’t use crew information for anything other than running Crew for their program.

Who helps us run it

A few service providers handle data for us, only to run the service:

ProviderWhat it handles
SupabaseOur database, sign-in, and file storage
ResendEmail delivery: sign-in links, invitations, and published reports
CloudflareCustom web addresses, only for organizations that use one
VercelRuns the app and its servers
SentryError reports so we can fix problems, and feedback you choose to send, with a screenshot only if you attach one. Personal data collection is off and nothing is recorded from your screen.
Google and MicrosoftYour name, email, and photo, only if you choose to sign in with them

In your browser

Your browser keeps your sign-in session, your light or dark mode choice, and a few small reminders on this device only, such as whether you dismissed the Add to Home Screen tip. That’s all we store there.

Keeping and removing records

Crew accounts are archived rather than deleted, so hour records stay accurate. A program can ask us to export or delete its data.

Questions and requests

Crew members and families: contact your program’s administrator, who manages your account.

Program administrators can ask us about their organization’s data through the Help Center.
