Roles and permissions
What owners, stage managers, and crew can each see and do.
The three levels
Everyone in your organization has one access level. It shows as a tag next to their name on the Crew page.
- Administrator (the owner): runs the whole organization. Shown as Admin in the crew list and Owner on the Your organizations page.
- Stage Management: runs the shows they’re assigned to. Shown as Management.
- Crew: clocks in, signs up, and tracks their own hours.
What administrators can do
- See and manage every show, not just their own.
- Add crew, import spreadsheets, and give anyone any access level.
- Archive and edit any account, including stage managers and other administrators.
- Use the settings pages: Modules, Branding, Sign-in, and Plan.
- Set up semesters, write training courses, and manage CNC files.
What stage managers can do
- Open Stage Management from the crew view.
- Create shows. They’re added to any show they create.
- Manage the crew, positions, and hours requirements for shows they’re on.
- Schedule Build Days, post shifts, and approve hours.
- Edit and archive crew accounts, but not other stage managers or administrators.
- Read the Audit log for their shows and for attendance.
A stage manager only sees a show once they’re on its roster. Add them in Shows & crews with Edit roster.
Change someone’s level
- Open Crew and find the person.
- Open the ••• menu and choose Edit account details.
- Pick Crew, Stage Management, or Administrator under Account access.
- Choose Save crew member.
Only administrators can change access. You can’t remove your own administrator access, so add a second administrator before handing things over.
