Stage manager basics

What stage managers can see and do, how that differs from an admin, and how to find your way around Stage Management.

Open Stage Management

  1. Sign in, open the account menu (your initials at the top), and choose Stage Management. On a phone, you can also tap More, then Stage Management. It’s only there if you have Stage Management access.
  2. Use the sidebar to move between sections. They’re grouped under Schedule, Crew, Productions, and Settings.
  3. On a phone, the bar at the bottom has Home (the overview) and your most-used sections, like Build Days, Crew, and Approvals. Tap More for everything else, grouped the same way.
  4. To get back to your own dashboard, choose ← Crew view. On a phone, it’s under More.

Sections for features your organization has turned off, like Shifts or Training, don’t appear at all.

Know what’s yours

Stage managers work show by show. You see and manage the shows you’re a member of, and nothing else.

  • Crew lists the people on your shows. You can edit crew members’ details, clock them in or out, and archive them.
  • Approvals shows Build Hours for your shows only.
  • Build Days, Show tasks, and call times are limited to your shows.
  • Shifts and assemblies that aren’t tied to a show are shared across your organization. Show-specific shift events are limited to that show’s managers.
  • The Audit log shows changes for your shows, plus all shift and assembly attendance.

Know what only admins can do

Admins are your organization’s owners. They see every show, and a few things are theirs alone:

  • Adding crew accounts with + Add crew member, importing crew, and changing anyone’s Account access.
  • Setting up semesters in ⚙ Semester settings on the Assemblies page.
  • Writing training courses.
  • The CNC files board.
  • Everything under Settings except the audit log: Modules, Branding, Sign-in, and Plan.
  • The Late after setting for calls, which applies to every call in the organization.

Make the overview yours

  1. Go to Overview (Home on a phone) and choose Customize overview.
  2. Tick the sections you want, like Key totals and Crew hours.
  3. Add shortcuts to the pages you use most, then drag them into order. You can also focus a shortcut and use the left and right arrow keys.
  4. Choose Done customizing.
