Post shifts and rentals
Create a shift event, add shifts with open spots, and fill them yourself or let crew claim them.
Program and upCreate a shift event
A shift event is the thing crew are working, like a load-in, a strike, or a rental. Shifts are the time slots inside it.
- Go to Shifts and open Create an event or add a shift. On a phone, Shifts may be under More.
- Under Step 1, give it an Event name and an optional Description.
- Pick the Event type: General crew event, Crew Longest Day, Rental, or Show-specific event. For a show-specific event, pick the show too.
- Set Participation to Required or Optional, and Pay type for this event to paid or unpaid.
- Choose who can see it under Crew visibility. Open to everyone lets any crew claim a spot. Assignment only means only you can place people.
- Choose Create event.
Stage managers can only create show-specific events for their own shows, and only that show’s managers can manage them afterward.
Add shifts
- Under Step 2, pick the Shift event.
- Enter the Job, like Sound, Lights, or Run Crew, and the Location.
- Set the Date, Starts, Ends, and how many Openings there are.
- Tick Require QR check-in if crew should scan in when they arrive.
- Choose Post shift. Repeat for each time slot.
Each shift shows how many people have signed up out of its openings. Once it’s full, nobody else can claim it.
Assign crew yourself
- Open the ••• menu on a shift.
- Pick someone from Assign crew….
The same menu has Copy names and Download names (CSV) for the roster, Edit shift, and Remove shift. To take someone off a shift, choose Remove next to their name.
Fill a rental from its volunteer list
Crew can volunteer for a rental before you’ve placed them. They wait in the Rental volunteers list under the event.
- Drag a volunteer onto one of the rental’s shifts, or pick a shift from their Assign shift… menu.
- Choose Remove to take someone off the list.
Check crew in at the venue
- For a shift with QR check-in, open its ••• menu and choose Show QR.
- Hold up your screen, or choose ↓ Download printable PDF.
- Approve the check-ins under Attendance review on Approvals.
Crew have to claim or be assigned to the shift before they can scan. The code works from 30 minutes before the shift until 30 minutes after it ends. Shift attendance doesn’t count toward Build Hours.
