Set up notifications, reminders, and quiet hours

Turn kinds of notification off for everyone, choose when reminders go out, and set the quiet hours when email waits.

Open the settings

  1. In Stage Management, open General under Settings. On a phone, tap More to find it.
  2. Below Time zone, find the Notifications, Reminders, and Quiet hours cards.

Everyone in your organization gets notifications in the bell, and each person chooses which ones also come by email in their own Settings. These cards set the rules for the whole organization.

Only owners can change these settings. Each change is recorded in the Audit log.

Turn a kind of notification off for everyone

  1. On the Notifications card, turn off a kind you don’t want, like Tasks or Shifts & waitlist. The card warns that nobody will get these, in the bell or by email.
  2. Choose Save notification settings.

A kind that’s off stops for everyone, in the bell and by email, and crew no longer see it in their Settings. Kinds for modules that are off aren’t listed.

If the card says Email isn’t set up for this organization yet, notifications only show in the bell for now.

Choose when reminders go out

Crew get reminders before shifts they signed up for, calls they’re on, and Build Days for shows they’re on. Build Days with no show and additional-hours sessions don’t send reminders.

  1. On the Reminders card, pick a First reminder and a Second reminder: 1 day before (at 6:00 PM the evening before), 3 hours before, 2 hours before, 1 hour before, 30 minutes before, or Off.
  2. Choose Save reminders.
  • The two times are shared by shifts, calls, and Build Days. The default is 1 day before and 2 hours before.
  • The day-before reminder goes out at 6:00 PM the evening before. The others go out that long before the start, or before each person’s own call.
  • A short reminder that would fall in quiet hours is skipped, since the evening-before reminder already went out.
  • Set both to Off to stop reminders. To stop them for everyone in the bell too, turn Reminders off on the Notifications card.

Times follow your organization’s time zone. These reminders are separate from alerts crew set in their own calendar apps.

Set quiet hours

  1. On the Quiet hours card, set From and Until. The default is 9:00 PM to 7:00 AM.
  2. Choose Save quiet hours.

Email that would arrive in these hours waits until they end. The bell still updates right away.

  • Urgent call changes are sent anyway: when a stage manager ticks Urgent on the call sheet, or the call is in the next 12 hours.
  • Quiet hours use your organization’s time zone. Change it on the Time zone card.
  • Choose times on the quarter hour, with different start and end times, and keep quiet hours to 16 hours or less.

Your own notifications

Owners get Waiting for your review only for items no stage manager can approve, and its email starts off. Turn it on, or turn on Include items a stage manager can approve, on the Notifications card in your own Settings.
