Clock in and out with a QR code

Scan the posted code when you arrive at a Build Day, and clock out when you leave so your hours go in for approval.

Clock in

  1. Find the QR code posted for today’s Build Day.
  2. Point your phone’s camera at it and open the link. Or, in the app, go to Home and tap Scan crew QR, then allow camera access.
  3. If you aren’t signed in, sign in. You’re clocked in right after.
  4. You’ll see Clock-in complete, or QR verified — you’re clocked in! in the app. The timer on Home starts running.

QR clock-in opens 30 minutes before a Build Day starts and closes 30 minutes after it ends. You can only clock in to Build Days for shows you’re assigned to.

Clock in with an Additional Hours code

For extra work outside a scheduled Build Day, your stage manager can show an Additional Hours QR code. Scan it the same way you’d scan a Build Day code.

Additional Hours codes only last a set time. If you see that the code has expired, ask Stage Management to show a new one.

Clock out

  1. Open the app and go to Home.
  2. Tap Clock out. You don’t need to scan anything.
  3. Your time is saved as an entry and sent to Stage Management for approval.

The entry shows as Pending on the Hours tab until someone approves it.

If you forgot to clock out

If you’re clocked in to a Build Day and still clocked in at midnight, the app clocks you out at the Build Day’s scheduled end. The entry is marked Auto-closed and waits for Stage Management to review it. Any other clock-in, like Additional Hours, keeps running until you or a stage manager clocks you out.

  1. Tap Clock out on Home as soon as you remember, or ask your stage manager to clock you out. If it was already auto-closed, skip this step.
  2. Go to the Hours tab and find that entry.
  3. Tap Request an edit and put in the time you actually left.

You can only be clocked in to one thing at a time. If a scan says you’re already clocked in, clock out first.

If the scan doesn’t work

  • You are not assigned to this show. Ask Stage Management to add you to the show.
  • QR clock-in opens 30 minutes before this Build Day… You’re too early or too late for this code.
  • The Build Day isn’t assigned to a show yet. Stage Management has to set that before anyone can clock in.
  • The camera won’t open. Allow camera access for your browser in your phone’s settings, or scan the code with your phone’s camera app instead.
